What are the system requirements to run the software on my computer?

    System Requirements:
    The majority of DDS products are developed to use within Microsoft® Office applications.  Specifically Microsoft® Word and Excel. The latest features have been tested and work best in Windows® XP, Vista and Windows 7 operating system.

    You will also need Microsoft® Internet Explorer to view the software on your computer. The products are designed to be interactive with the web and are built on the stability of Microsoft® Internet Explorer web browser environment.

Can I get a trial version of the Narrative Report Writer?

Can I customize and personalize the clinic forms?
  1. Yes

    Personalize:
    Use Microsoft Word to customize any of the text within the form and personalize the forms with your name and address etc.

    Customize:
    Customize the "Help" Sections in the clinic forms and the Forms Manager will actually communicate with your staff as they tab from field to field in the form with specific instructions which appear on the taskbar at the bottom of the page or by selecting F1 "Help" screen when needed. With this feature the questions will be asked exactly the way the doctor wants when communicating with patients or insurance companies over the telephone.

    This is a great training tool for new staff.

I have multiple clinics, do I need multiple product licenses?

    Multiple clinics require multiple licenses: View DDS License Agreement

    The statement below (which is a section of the DDS License Agreement) describes your right to use one copy in one office setting.

    GRANT OF LICENSE:
    Doctors Data Source LLC grants you the following rights provided that you comply with all terms and conditions of this EULA:

    You may install and use one copy of the Software on multiple computers within one office network setting for each doctor practicing within the one office network setting (into RAM and/or onto computer hard drive).

I already have office forms, can I use my forms with the Forms Manager?
  1. Yes

    The forms designed for the Forms Manager are a digitized (computer) form. In other words they can be used, personalized and customized on the computer. If your current office forms are digitized you can integrate them into the Forms Manager system.

    However, most doctors offices have a combination of computer generated forms and paper forms. The DDS Forms Manager is not necessarily designed to replace all your office forms unless it is in your best interest to do so.

I have a small office, do I need to use HIPAA forms and manual?
  1. In almost all cases you do need to be HIPAA compliant

    If you file claims electronically or store patient Private Health Information electronically (database) you need to be HIPAA compliant.

    Some states, like Texas, require all health care entities be compliant.

    Some state laws have more strict requirements than the federal government. Check with both government entities and follow the more stringent rule.

I have a small office, do I need to develop a compliance Program?
  1. If you treat Medicare and Medicaid patients it is wise to do so

    Mandatory Compliance Is Coming:
    The Office of Inspector General has issued a statement on their website:

    With the passage of the Patient Protection and Affordable Care Act of 2010, physicians who treat Medicare and Medicaid beneficiaries will be required to establish a compliance program.

    While the timeline for "will be required" has not been clearly established the requirement to establish a compliance program is obviously getting closer.

    And in reality, it just makes good business sense to go ahead right now and establish a compliance program for your health care facility.  It will help you get organized and will allow you to re-evaluate your office policies and procedures and your staff training protocol.
